Program Director: MBC Retreats
Description
The Program Director: MBC Retreats is responsible for the design, programming and implementation of all MBC Retreats, including partnership retreats, to advance our mission and vision for families. In addition to the planning of the spiritual portions of the retreats, they work closely with other MBC team members (Group Rentals, Front Office, Marketing, Food Services) to ensure a high quality and biblically sound experience for all retreat attendees, as well as working to create partnership opportunities with like-minded churches and organizations to support guest growth. The Program Director: MBC Retreats also supports some parts of the summer ministry programming through workshops and sessions.
ACCOUNTABILITIES:
PROGRAM DESIGN AND OPERATION
- Schedule all retreats in coordination with Group Rentals, partnership staff and MBC ministry staff
- Source and book the Bible teachers and musicians for each retreat (or confirmation that retreat partners are providing these positions as a commitment to the partnership), in alignment with the MBM Bible Teacher/Music Charter and Statement of Faith & Marriage
- Liaise with Ministry Coordinator to ensure the completion of all contracts, confirm travel plans and handling of speaker/musician receipts
- Create compelling programming that meets ministry objectives for each retreat and that points our overall vision
- Track the finances for each retreat, including budgeting, managing receipts and final reconciliation of retreat receipts to ensure that a sustainable model exists for retreat programming.
- Where necessary, coordinate with partners and MBC staff to manage the discounting and sponsorship of guests who might not otherwise be able to attend the retreat.
- Find, train and support volunteers and other retreat staff (Retreat Directors, prayer team, etc.) to ensure that program objectives are being met in a timely and effective manner.
- Stay aware of cultural and societal shifts that might impact the viability of a particular retreat, and track with material (news, books, social media, etc.) that brings new and engaging Bible teachers to MBC as a part of our programs.
- Attend all MBC Retreats (or assign a delegate as required) to ensure a high-quality delivery of programming and hospitality to our retreat guests.
- Create materials to support the marketing of MBC retreats, including (but not limited to) welcome letters, thank you letters, website descriptions, schedules and other printed materials, as required and work with the MBC Marketing Team to ensure achievement of targeted attendance.
- Confirm details with Front Office, Food Services and Group Rentals staff as required and on time to make sure that all parts of the MBC Retreats are planned effectively.
- Liaise with the MBC Group Rentals team to ensure effective use of facilities and resources where two or more groups are on-site at MBC at the same time.
PARTNERSHIPS
- Create and manage a partnership and funding plan for MBC Retreats to assist in managing the cost of retreat programming to MBC (and therefore, to guests), including the development and management of a retreat sponsorship program.
- Partnerships could include (but are not limited to) invitations to like-minded churches, organizations and individuals who can share information and experiences that encourage and edifying retreat guests.
- Funding could include (but is not limited to) applications to grants and sponsorships that help offset the cost of retreat programming for guests (making the retreats more financial sustainable and attractive to potential guests).
- The retreat sponsorship program will be designed to receive, manage and disburse funds to guests who could not otherwise attend the retreat of their choice due to financial constraints. This includes developing funding criteria.
SUMMER MINISTRY
- During the summer, choose 1-3 events to support as a member of the MBC Ministry Team, both to lead and ensure that guests have “face-to-face” time with the Program Director: MBC Retreats
- When required, present about MBC retreats on platform at chapel sessions or other events to promote programs.
- Spend time getting to know MBC Summer Bible Teachers to determine suitability for retreat programming.
ADMINISTRATION
- Complete written experience plans and reports for each element of the department, according to schedule.
- Develop the annual budget for all related expenses by November 1 for the following year’s budget.
- Maintain expenses within approved budget parameters.
- Complete all planning documents (PLEX, Rolling Calendar, etc.) in a timely fashion.
- Maintain compliance with all relevant government regulations, the MBC Child and Youth Protection Policy and Staff Handbook policies and procedures, especially as it relates to the student staff community in our care.
- Always ensure safety of staff and guests – including managing risks associated with social media, cell phones, etc.
- Assist with various MBC leadership roles such as duty manager/retreat hosting, promotion/PR opportunities, etc.
QUALIFICATIONS
- Biblical training is considered an asset
- Well-read and up to date on cultural and theological shifts in society
- 5+ years experience as event planner or program planner
- Experience working in a Christian environment with a variety of denominations is considered an asset
- High-level ability to event plan, connect with other team members and focus on guest needs
- Experience working with volunteers is an asset.
- Experience working in a summer camp position is an asset.
- Valid G or G-2 level license may be a requirement (some exceptions may be made).
- Experience with conflict resolution is an asset.
- Fluency in English reading, writing, and speaking is required.
Compensation
$55,000.00 per year
